Convert 12 paper based forms into electronic InfoPath forms for MS SharePoint Project Server 2007. The goal of the project is to ensure business rules are followed in the firm's project management. Forms are used in the project management life cycle and are based on PMI methodology. For example, 'Change Request Form', 'Opportunity Assessment Form', 'Project Update Form', etc.

* Forms will have to reduce double entry of data that can either be pulled from MS Project tables, or entered once by the end user.

* Forms will have to auto route by email for review and approvals

* Forms may include MS Word and MS Excel documents

Note: Bidders must provide references of similar projects.

The objective is to convert the various paper based documents into electronic InfoPath forms to use with SharePoint, with workflows as necessary for approvals. Currently, these documents are MS Word or Excel type documents.

Once we convert the information into a database format, endusers can get "human readable" versions. The Charter example demonstrates this. Javascript can be used to create the "human readable" versions of forms and reports.

Here are the answers to some typical questions:

a. So we have atleast about 12 different Infopath tempalates (either in a single sharepoint forms library or in separate libraries.)

We also need to know what fields need to be displayed in the sharepoint list.

We also assume that there is no customization from the Sharepoint perspective (like no branding/list customization/development of features etc)

c. If there are any specific business rules other the db type/length validations we need these to be given before the creation of the forms.

We will indicate where needed. Nothing unusual for this phase of the project.

[url removed, login to view] assume that the workflows would be defined upfront. If we need to write custom workflows the effort might shoot up. We need the definition of the workflow to guage the estimates.

We will provide a Visio doc with workflow. Generally, approval process for some forms via email (MS Exchange).

e. Are all templates going to follow the same workflow?

No. Some do not require approval process for example.

Would the sharepoint be configured with a group/role and any other association data required for the workflow to function (like find out the person whom the person is reporting and add a task to his list.

But how will we know the users reporting manager ?)

We will provide the list of roles and populate with actual users in time.

f. Also will we be getting a sample site on the staging or production environment to test it.

Yes, we will provide a staging area.

g. If ther e is a site that already exists pls get us an access to have an overview of where the application would be deployed.

Yes, we will provide access to existing live site.

h. We assume that the purpose of storing information in a database is for reporting purposes. However every save would save the infopath form in the library as well as in the database.

That is O.K.

i. Do we assume that the users would have infopath installed in their client machines.

Yes, all clients will use MS Office 2007 (with InfoPath, etc.)

k. Is it enough to generate a web page that looks like the word document or should we be creating a PDF/word document out of the information submitted.

Either way is fine as long as some version control information is included in the cover of the output document.

l. How lengthy and complex are the other forms. We need those to estimate the effort as for each form we might need to create a new table structure.

The Charter is one of the longest forms. Most are less than two pages. I have attached the others as they exist now for reference.

m. Does the customer already have an infopath form designed. What is the branding to be followed etc.

No InfoPath forms are done yet.
