Every client meeting is recorded in [login to view URL], and each meeting summary is emailed to my Microsoft email. I want a Power Automate cloud flow that checks those meeting summaries, pulls out the “Action items” section, and turns every bullet under that heading into a task on the matching client's Microsoft Planner board. The match should be made by board name: if the transcript belongs to “Acme Co”, tasks go straight into the “Acme Co” Planner board, preserving any original due dates mentioned and assigning me as the owner by default. If no board with that exact name exists, the flow can either notify me by email or create a new bucket marked “Unmatched” for manual review—whatever is simpler for you to implement. I would like the completed solution delivered as: • A ready-to-import .zip package of the flow with instructions to install it • A short Loom or written walkthrough so I can adjust the connection references and modify keywords later Feel free to make use of AI Builder, regular expressions, or the Graph API as needed; I just need it to run reliably in my tenant without extra licensing surprises.

Parsing those Otter email summaries with Power Automate is straightforward. I would set up a flow that triggers on incoming Otter emails, uses regex to extract action items and attendees, then creates the right Planner tasks automatically. I can start today and have it done in 2 days. Bid amount and timeline are based on the description as written and may adjust once we walk through the full scope. Want to jump on a quick call?

Parsing the "Action items" section from Otter email summaries with regex and routing tasks by board name is doable with Power Automate's HTTP actions and the Graph API. I built an invoicing platform with 17 Supabase Edge Functions and automated a PDF processing pipeline with Python, so wiring up conditional logic and API calls is familiar territory. I'd set up the flow to extract action items, match board names, and either create tasks or flag unmatched clients via email—whichever keeps it simpler. Once I take a look at a sample Otter email and your Planner board structure I can confirm the parsing approach and get the flow packaged as a zip with a quick walkthrough. Hey there, I'm Vishal Maharaj, a seasoned professional with 25 years of experience in Automation, Power Automate, Cloud Development, and Microsoft 365, based in Perth, Australia. I understand your need to automate the process of transferring Otter Notes action items to Microsoft Planner efficiently. I propose to create a Power Automate cloud flow that will extract action items from meeting summaries, automatically turning them into tasks on the corresponding client's Planner board based on board names. This solution will streamline your task management process and ensure tasks are assigned correctly. Let's discuss further and get started on this project. Cheers, Vishal Maharaj

I read your project carefully, and this is exactly the type of Power Platform work I handle regularly. If you're looking for someone who understands both the technical side and the business logic behind the system I can help. I work extensively with Microsoft 365, Automation, Power Automate, Cloud Development, Microsoft Office and Regular Expressions

Hi there, We can build a reliable Power Automate flow that reads the Otter summary emails, extracts the Action items section, matches each meeting to the correct Microsoft Planner board by exact client name, and creates tasks with the captured due dates where available. We will keep the design practical and tenant-safe, with a clear fallback for unmatched boards and a package you can import and adjust. We will also include concise setup notes so connection references and keyword rules can be updated later. Best Regards, 8veer

Hi, I can help design the automation flow from Otter meeting summaries into Microsoft Planner tasks. I would first confirm the exact email format from Otter, the Planner board naming rule, and how you want unmatched clients handled. Then I can build a Power Automate flow that extracts the Action items section, creates tasks, preserves due dates when present, and sends a simple notification when a board cannot be matched. If you can share one sample Otter email and the Planner structure, I can validate the parsing logic before delivering the importable flow and setup notes.

Two clean approaches here: regex on the "Action items" heading (free, works if your Otter summaries have consistent formatting) or AI Builder Extract Text (more resilient to messy summaries, but requires Power Automate Premium if you don't already have it). I'd default to regex first since it covers the common case and costs nothing extra, with AI Builder as the documented fallback. For the board-match logic, I'd pull the plan name from a keyword in the email subject or summary body and match it against Planner plans via Graph API. When no match exists, creating an "Unmatched" bucket is almost always simpler than per-miss email notifications; those get noisy fast. You'd get a ready-to-import .zip with all connection references externalized, a written walkthrough covering connection setup, how to edit the board-name mapping table, and how to swap in AI Builder if your summaries get less consistent, plus due-date extraction for the standard date formats Otter embeds in action items. M1: Flow built and tested against sample emails, $150, day 2. M2: .zip packaged + walkthrough delivered, $100, day 4. $250 total, 4 days. One thing that'd help before I start: are your Otter summaries arriving as plain-text email bodies or as HTML/attached files? That determines which Parse Email action to reach for first.
