Remote Workflow & Schedule Organizer

Our small, fully-remote team is growing quickly and the ad-hoc way we juggle projects, calendars, and follow-ups is starting to slow us down. I need an experienced office professional who can step in, study how we currently operate, and then design a streamlined system that keeps three areas perfectly in sync: our workflow processes, day-to-day schedule management, and all sales & marketing activities. First, you’ll map our existing steps from lead capture through fulfilment, spot bottlenecks, and create a clear, repeatable workflow that everyone can see at a glance. Next, you’ll set up a shared calendar framework so meetings, deadlines, and touch-points are impossible to miss. Finally, you’ll bring structure to our sales and marketing efforts—building a simple rhythm for outreach, follow-ups, and reporting so we always know what’s next. Because the team is distributed, a key part of the job is turning this new structure into easily accessible training: think bite-sized SOPs, quick-reference guides, or short screen-shares that live in a central knowledge hub. Use the tools you trust; I’m open to popular project boards, calendar suites, or CRMs as long as they fit our workflow and scale with us. Deliverables (all discrete and reviewable): • Documented, step-by-step workflow with responsibilities and timelines • Integrated team calendar populated with existing commitments and recurring routines • Sales & marketing task board that tracks prospects from first touch to close • Central knowledge library containing SOPs, templates, and video walk-throughs • One-page quick-start guide so new hires can be productive on day one I’ll be available for interviews with each department lead and can give you sample documents and metrics.
