Implementation Scope and Plan. Overview We launching a large real estate project on 19th November, 2016 and expects a lot of marketing and lead activities related to that project. A lot of Leads are already generated and being contacted. We would like to deploy the new CRM solution initially with at least the core functionalities (Lead management, Property Inventory and Enquiry Management) along with other required activities e.g. Lead import from Excel, Users and Roles setup, User Training etc. The other required functionalities like Payment Plan, Contract Management, and Commission Calculation can be implemented after the initial roll-out. Due to limited time available for analysis & implementation, we did not have sessions to discuss & specify functionalities in details that shall be delivered within this implementation. Therefore, the required functionalities are described at high-level here. As discussed, we shall configure the CRM modules (e.g. Lead) similar to our previous property developer solution model to enable faster implementation. We shall implement the customized functionalities and automations on best effort basis within the estimated time. Key Modules and Functionalities Required. As per discussions with Talal, the following modules and functionalities are required for the initial implementation (estimated time eight weeks). Campaign: -Create Campaigns and create Target Lists. - Create Email Templates and Execute Email Campaigns. - Track Email Campaign Response using Reports - Track Leads generated from Campaigns and estimate Campaign ROI - Note: the above functions can be done in either CRM or the Marketing Tool. The leads and campaigns related information will be visible in both CRM and the Marketing Tool Lead: - Capture Leads (from Campaigns, importing from Flat Files, from Website Forms and by adding using CRM system). Duplicate Lead validation and alert based on specific fields. - Follow-up Leads and track all communications (emails, meetings, offers) , notes & documents. - Track the Leads using automated processes and segment the Leads (e.g. Hot Leads, Dormant Leads, Not Contacted Leads, etc.) - Perform various bulk Lead data updates, e.g. bulk assignment, bulk status update, etc. - System to notify relevant users re Leads to be followed up or tasks/activities due. Property Inventory: - A module will be available in CRM where Property Inventory details (e.g. Project, Property Type, Bedroom, Price/SqFt, etc.) will be stored for the various Projects of MAG PD. - Initially the Property Inventory will be imported from Excel files. Then specific Users shall add/update Property Inventory. - Property delated documents e.g. Photos, Floor Plans can be attached to Properties. - Users will be able to search the Property Inventory using various fields, such Project, Bedroom, Price/SqFt, Construction Status, Availability Status etc. Enquiry/Offer: - Capture the specific property enquiry of the Lead and send Offers via email from the system. - System to be able to generate the Offer document using a pre-defined template. - System will show the history of Offers submitted to a Lead. Sales Contract: - Enable user to create a Contract record for a Lead who has agreed to purchase a property. A form will be provided to put in all Contract details including Payment Plan. - User can upload required documents and attach to the Contract record. - As discussed with MAG PD, the Sales Contract module will be implemented only if time is available after implementing other priority modules (Lead, Property and Enquiry). Payment Plan and Payment Tracking: - Users can attach a Payment Plan to a Contract. - Users with permissions can modify a standard Payment Plan. - System shall alerts users based on payment due dates and status. - Users can update details of payments made. Commission Calculation:  - System will enable to setup default commission rates for Sales Reps and Agent
