Virtual Assistant (part-time or full-time)

Job Description:
Boutique recruitment agency is seeking an individual to perform administrative duties and support our business operations.
As a virtual assistant, you are expected to assist with day-to-day tasks and assistance of numerous operations tasks as outlined below and deliver high-quality work under minimum supervision.
This is a great long-term/indefinite opportunity for a professional, resourceful and dedicated assistant. It starts out as a part-time role and could remain as such or could become a full-time role, depending on your preference, performance and success rate.
Job Description – Including but not limited to:
• Assist with day-to-day tasks
• Maintain Applicant Tracking System (ATS)
• Manage contact lists
• Edit job specifications
• Job Board Maintenance: Post job openings to job boards, remove filled jobs; Research niche job boards, etc.
• Research and organize data (phone numbers, e-mail addresses, etc.)
• Respond to e-mails and phone calls
• Follow-up calls as directed
• Complete word processing tasks such as Resume formatting, etc.
• Schedule (zoom) video-appointments for interviews
• Manage and maintain calendars
• Conduct reference checks (primarily via e-mail)
• Thorough note-taking of all activities
• Thorough follow-up on any outstanding tasks as assigned
• In the future, possibly train and supervise other administrative staff
• Other duties as assigned
Optional, if experienced or interest in learning:
• Assist with sourcing and recruiting qualified candidates for job openings (training will be provided)
• Experience in Marketing, web design (specifically WordPress), SEO or social media a plus but not required
For candidates ultimately interested in a full-time role, the following tasks would apply in addition to the above tasks:
• Phone calls to candidates and company prospects
• Assist with sourcing and recruiting qualified candidates for job openings (training will be provided)
Requirements:
• Reliable high-speed Internet connection; (already have or ability to obtain a) U.S. Phone number with unlimited calls and text capabilities; Skype and (free) Zoom account.
• Significant experience of working as a Virtual Assistant or other relevant position
• Excellent English communication skills, both orally and written; Strong phone٫ email and instant messaging communication skills; Excellent people skills
• Entrepreneurial spirit, high energy, results-oriented, motivated, hardworking, drive to succeed
• Good practical experience with online calendars and scheduling
• Reliable and adept at problem solving
• Well rounded, creative, resourceful, detail-oriented
• Advanced online research skills
• Ability to work in a fast-paced environment; Excellent organizational and time management skills and ability to multi-task
• Significant experience with current technologies٫ like desktop sharing٫ cloud services, VoIP, and communication tools like Skype and Zoom
• Advanced Word and intermediate Excel skills
• Decent typing speed (preferably 50+ WpM)
