1. Create as a standalone site, and have access via pool [url removed, login to view] (please note
that what I want to do is create this as a separate site that we can give access
In the Next phase we create an app that allow us to use it on a mobile device and syncs
with website. This way if you are in the field you can post items to customers
accounts and you can create estimates on the go.
We create a lite version that is free. 10 or 20 customers and has note on the
site billing application compliments of poolnation.
User creates account
User name, password, etc
Company info, company name, address, tel
Upload logo (in paid version)
Show URL (in paid version)
Notes on invoices (in paid version)
Get rid of note on invoice that says billing application compliments of

Estimates (in paid version)
The site should be really user friendly.
The main idea of the billing application is that is will have reoccurring
charges. So when you create new customer, you will need to enter the $ amount
that they will be charged on monthly basis. Please take into account that some
months you might charge the customer $100, but during the summer they might be
charged $150. So the user should be able to specify what they are charged per
month and on the first day of the month the system should add the charge to the
customers account.
There are other one time charges that are applied to customers, so for example
in the month of January there might be a charge for $40 that should be applied
to all customers for Filter cleaning. The user should be able to set up those
extra charges and post to all customers they choose. Or for those that they
choose and the system on that month should automatically charge the $40.00.
Tax. The tax feature should allow users to post tax to all line items or to
individual line items. For example when you are doing billing for the pool
service industry monthly charges are not taxable, and labor is not taxable, but
if you install equipment the equipment itself is taxable. Tax percentages change
based on cities so users should be able to enter the percent of tax that they
need to charge.
I sent a screen shot of how the billing page should be laid out. There should be
12 tabs at the bottom, one for each month of the year and the user can go to
that month to post any extra charges.
You should be able to print or email invoices. You should have a function where
you can print all invoices
Compatible on all browsers and iPad
Estimates
Users should be able to create estimates for customers or new potential
customers. These estimates should have the function to be emailed to the new
customers or to be printed. Users should be able to turn estimates into invoices
once the estimate is approved.
