1.1 Current State
Media Production (MP) Services captures, edits, and shares video files for colleagues throughout. Currently, all MP working video files (asset and project) use local, aging 8TB RAIDs due to editing program requirements for file sizes and transfer speeds. The oldest RAID currently in use is ten years old, and we are running the risk of drives failing due to age.
With 4K video being the industry standard and more projects requiring multi-camera shoots, video file sizes will get larger, not smaller. Depending on frame rate and compression, one minute of source 4K, minimally compressed source video can take up 1GB. As a result, large projects like Fall Convocation can have working file sizes over 1TB.
As file sizes increase, we will spend more time moving media between aging RAIDS and uploading and downloading from the file share server, which is not configured for high-speed data transfer. Media Production’s current workflow does not allow for easy collaboration between team members or for quick shifting of projects depending on resource availability.
A dedicated video editing server with digital asset management software would improve workflow with multiple techs able to work on large project files, decrease the time needed for file transfers, and remove the risk of files and drives being damaged during physical handoffs.
For these reasons, We are looking to procure a dedicated video editing server with digital asset management capabilities composed of two (2) 16 bay Evo Base Units – Shared Storage Server for Media teams with two (2) 100GbE Dual-Port Network Interface Cards, including remote installation, remote training, and complete standard support. The detailed requirements for each of the items are stated below in Attachment A – Specification of Requirements.
Project Objectives:
The EVO servers would consist of two (2) 16 Bay EVO Base Unit – Shared Storage for Media Teams with 192TB raw capacity, 3U, 16 Bay, 64-bit multi-core Xeon CPUs, Disk architecture support for 12Gb/s SAS or 6Gb,s SATA, NAS and SAN storage Subsystem, support for SMB, AFP, NFS, SFTP, FTP ,iSCSI, two (2) 1GbE Ethernet ports, two (2) 10GbE Copper. This will include two (2) NVIDIA Mellanox MCX516A-CCAT ConnectX®-5 EN Network Interface Card, 100GbE Dual-Port QSFP28, PCIe3.0 x 16.
The EVO is a complete, networked, high-performance shared storage workflow server for professional media artists. The hardware and EVO OS are designed for video/film/TV, graphics, VFX, animation, audio, and broadcast production environments. The complete solution would support the following features:
• ShareBrowser asset management software
• Multi-user write file sharing.
• Avid bin locking.
• Project locking for other NLE.
• NAS recycle bin.
The quote must include:
• 1-, 3-, and 5-year hardware warranty options.
• Complete Standard Support 16 Bay EVO – Annual.
• Lifetime basic support (email only).
• Remote commission installation assistance.
• Remote training with a live instructor
Mandatory minimum requirements for two Media servers:
