You are required to develop an event management system that supports the University’s
faculty or departments to organise events. The University department is constantly
organising academic related events to enable students to learn and to apply their knowledge
and skills when they are participating at. The events include competitions, debates, soft-skill
courses, IT professional training workshops, seminar talk, field visit etc. The system is
capable to manage upcoming events, present events or past events. The students will be
notified about organised event details via email. Thus, students are able to register to the
event and a confirmation email message will be sent to the students’ email address.
Furthermore, the system is also capable to generate event reports for academic planning
purpose.
The following are the requirements in general of the Event Management System (EMS).
There are end users interacting to the EMS: Head of School (HOS), Academic
Group Leader (AGL), Programme Coordinator (PC), Lecturer (L), and the Students
(STU). All the end users are required to login for authentication and authorisation
purposes.
Head of School and Academic Group Leader shall be able to:
o Create a new programme for coordinating with external entity for student events
organisation.
o Manage the role of existing staff such as appointing a lecturer to be programme
coordinator or administrator.
o Approve the event organised by the programme coordinator.
o Produce three types of meaningful reports: Event Summary Report, Event Detail
Report, and Event Exception Report.
Programme Coordinator shall be able to:
o Manage events operation for instance adding a new event, update or remove
exiting the events. The status, PAST, PRESENT, COMING_SOON, of the event
shall be maintained. The status change shall be automated against the computed
date.
o Set the reminder before the event is taking place.
o Coordinate with scheduler team for the venue availability to host the events.
o Send an invitation to filtered students and staff about the event details upon
event approval granted by HOS or AGL. Some events are offered according to
level of study of the programme. For example, Programming competition is
offered to Level 2 and 3 students to participate.
o Register students to the events being organised in case of the event required a
fee, a receipt shall be printed and sent to students’ email address. Otherwise,
students can register themselves.
Lecturer shall be able to:
o Read more details of the events on the event schedule.
o Download the event brochures to encourage their respective students to
participate.
Students shall be able to:
o Register to the events being organised. The system shall send an email with a
receipt attachment if any upon registration successful. The attachment should be
in pdf format.
o Read more details of the events on the event schedule.
